PandaDoc

Document automation for proposals, contracts, and quotes with e-signature built in

What it does

PandaDoc builds and sends proposals, contracts, and quotes with legally binding e-signatures. You create templates once (SOW, MSA, client onboarding agreement), drop in dynamic content (client name, pricing, deliverables), send, and PandaDoc tracks who opened what and when. It sits between DocuSign (pure signatures, no proposal building) and Proposify (proposal-heavy but weaker signature workflow). If you send more than 3 sales documents per week and want to know if the prospect actually opened your proposal, PandaDoc is the tool.

Who this fits

  • Consulting firms and agencies sending 5-30 proposals per month
  • B2B SaaS sales teams with structured deal flow needing quote-to-close automation
  • Real estate agencies handling listing agreements and buyer representation
  • Construction and trades businesses sending detailed multi-page quotes
  • Insurance and financial services firms with recurring client agreements
  • Any founder tired of stitching together Google Docs, DocuSign, and manual invoice generation
  • Teams that need CRM-to-doc automation (HubSpot deal to proposal in one click)

Who it does NOT fit

  • Solo founders who send 1-2 documents a month (Free eSign or DocuSign Personal is enough)
  • Ecommerce businesses (no meaningful use case; contracts are boilerplate ToS at checkout)
  • Anyone who only needs signatures, no document building (DocuSign or Dropbox Sign is cheaper)
  • Regulated healthcare needing HIPAA-compliant PHI documents on a base tier (Enterprise only)
  • Businesses with heavy custom legal review workflows (Ironclad, Juro fit better)

Pricing

Paid tiers are per seat per month. Annual billing saves up to 46%. - **Free eSign**: $0/mo. 5 documents/mo cap, unlimited uploads and signatures, mobile app. Legitimately useful for a founder testing or a very low-volume business. Business use allowed, no fake watermarks. - **Starter**: $19/seat/mo. Unlimited documents and eSignatures, template library, real-time notifications, drag-and-drop editor. Fine for solo consultants and 2-3 person teams. - **Business**: $49/seat/mo. Adds CRM integrations (HubSpot, Salesforce, Pipedrive), custom branding, content library, approval workflows, bulk send. This is where most 5-15 person sales teams land. - **Enterprise**: custom. SSO, HIPAA, audit trails, advanced permissions, custom workflows, dedicated CSM. At 5 users on Business: $245/mo. At 10 users: $490/mo. No 3-user minimum trap like monday. AI content generation is included on Business and up as of mid-2026 [VERIFY].

Real gotchas

  • **Template hell**: Teams that never invest in template creation use PandaDoc like a fancy PDF viewer. Templates are the point. Without them, cheaper tools win.
  • **CRM integration required**: PandaDoc on Starter without CRM sync is a downgrade from Business + HubSpot. Do not sell someone Starter if they use a CRM they want to sync with.
  • **Legal team pushback**: Some legal counsel will not accept PandaDoc's audit trail. DocuSign's audit trail is the most litigation-tested. For high-stakes deals, use DocuSign or ask legal first.
  • **International deals**: PandaDoc is US-first. In some EU markets, DocuSign or SignNow is more accepted; PandaDoc works but may need explanation. Not a legal issue, a familiarity one.
  • **HIPAA on Business tier**: Do not send PHI on Business. Enterprise tier only for healthcare use cases.

Integrations that matter

- **HubSpot** - deal-to-doc auto-generation, contact sync, close-won auto-trigger. Business tier and up - **Salesforce** - same as HubSpot, native - **Pipedrive** - same - **Zoho CRM** - full sync - **Stripe** - collect payment at signature (huge for consulting and agency retainers) - **QuickBooks Online, Xero** - invoice auto-creation on signed doc - **Zapier + Make** - long tail - **Slack** - notifications on doc events - **Google Drive, Dropbox** - attachment and storage - Payment collection at signature is the killer feature - your client signs and pays in one flow, no separate invoicing round.

Otto’s take on this tool

> Example: "For your 4-person B2B consulting firm sending 15 SOWs a month, PandaDoc Business at $49/seat runs you $196/mo. Your HubSpot deals push straight into a branded SOW template with pricing, deliverables, and terms. Client signs, Stripe charges the deposit, HubSpot marks the deal Closed Won, all in one flow. The 6 hours a week your ops person spends assembling proposals in Google Docs goes to zero."
