Monday.com

Work operating system for project management and team collaboration

What it does

monday.com is a visual work management platform built around colorful spreadsheet-style boards. Each board is a project or workflow, and each row is a task with custom columns for status, owner, dates, files, and dependencies. Compared to ClickUp, monday ships with stronger visual defaults and fewer options to tweak - you open a template, pick a workflow, and start moving cards. It sits between Trello (too simple for teams past 5 people) and Asana or ClickUp (more configurable, uglier out of the box).

Who this fits

  • 5 to 100-person teams that need cross-functional visibility (marketing + sales + ops)
  • Marketing agencies running campaigns across many clients with template-heavy workflows
  • Construction, real estate development, and trades project managers tracking multi-phase builds
  • Ecommerce ops teams coordinating suppliers, launches, and inventory checks
  • Teams that value visual polish and low training overhead (monday's UI is genuinely better than ClickUp's)
  • Managers who want dashboards that a client or executive can look at without a training session

Who it does NOT fit

  • Solo founders (Free tier is capped at 2 seats and 3 boards, not enough; Todoist or Notion is cheaper)
  • 3-person startups on a tight budget (3-seat minimum + $12/seat Standard = $36/mo minimum for a real workflow)
  • Product engineering teams (Linear or Jira is faster, cleaner for sprints, PRs, and bug tracking)
  • Businesses that want documents + tasks + wiki in one place (Notion or ClickUp fits better)
  • Anyone who wants monthly billing without a 20-25% premium (monday pushes annual hard)
  • Teams married to Google Workspace who want document-first collaboration (Google Tasks + Docs is enough)

Pricing

Every paid tier is per seat per month, billed annually. Monthly billing runs about 25% higher. Seats have a 3-user minimum, meaning you pay for 3 seats even if it is just you. - **Free**: 2 seats, 3 boards, 3 docs, mobile app. Useful only to demo, not to run a business. - **Basic**: $9/seat/mo. Unlimited items, unlimited viewers, native forms. Missing: automations, integrations, dashboards. Rarely the right tier for a real team. - **Standard**: $12/seat/mo. Adds 250 automations/mo, integrations, Timeline and Gantt views, calendar view, guest access. Most 5-15 person teams land here. - **Pro**: $19/seat/mo. Adds 25,000 automations/mo, private boards, time tracking, advanced dashboards. Kicks in when the team relies on automations to reduce manual work. - **Enterprise**: custom quote. SSO, advanced permissions, security, 250K automations/mo, dedicated success manager. At 10 users on Standard: $120/mo. At 20 users on Pro: $380/mo. AI credits included on paid plans (1,000-3,000/mo depending on tier). CRM, Dev, and Service are separate products with their own pricing; do not confuse the Work Management pricing above with CRM pricing.

Real gotchas

  • **Team never opens the boards**: If leadership does not enforce monday as the source of truth, half the team stays in email and Slack DMs. Adoption dies. Same failure mode as ClickUp and every other work management tool.
  • **Automation ceiling on Standard**: 250 automations/mo sounds like plenty until you build 15 boards with 20 automations each. Teams either delete rules or upgrade to Pro at $19/seat.
  • **CRM confusion**: monday Sales CRM is a separate product with its own tier structure. Buyers who click "CRM" during signup end up with a second bill.
  • **Enterprise cost**: Past 50 seats, price starts to matter and Enterprise negotiation gets long. Some large teams migrate to Smartsheet, Airtable, or Asana Enterprise for procurement reasons.

Integrations that matter

- **Slack** - notifications, task creation from messages - **Google Workspace** - Drive, Calendar, Gmail two-way sync - **Microsoft Teams** - full integration for MS-shop teams - **Zoom** - meeting scheduling from tasks - **Zapier + Make** - long tail - **Salesforce, HubSpot** - CRM sync for sales-adjacent workflows - **Excel / Google Sheets** - two-way sync for finance and ops workflows - **Jira** - two-way sync so engineering can stay in Jira while ops sees status in monday - **Native form builder** - captures work requests without a third-party form tool

Otto’s take on this tool

> Example: "For your 8-person marketing agency running 12 client accounts, monday Standard at $12/seat lands you at $96/mo. The client dashboard views mean you can share a real-time board with each client without them logging into your workspace, which is what you said was breaking with Trello. Template automation for campaign checklists cuts the 4 hours a week your PM said she spends copying task lists between client boards."
