How to set up Monday.com

What you're signing up for

1 hour to build the first board from a template and invite the team. 1 week to feel productive as a team. 3-4 weeks to have workflows the whole team actually uses. Migrating from Asana or ClickUp: 1-3

Read these before you start

  • **Team never opens the boards**: If leadership does not enforce monday as the source of truth, half the team stays in email and Slack DMs. Adoption dies. Same failure mode as ClickUp and every other work management tool.
  • **Automation ceiling on Standard**: 250 automations/mo sounds like plenty until you build 15 boards with 20 automations each. Teams either delete rules or upgrade to Pro at $19/seat.
  • **CRM confusion**: monday Sales CRM is a separate product with its own tier structure. Buyers who click "CRM" during signup end up with a second bill.
  • **Enterprise cost**: Past 50 seats, price starts to matter and Enterprise negotiation gets long. Some large teams migrate to Smartsheet, Airtable, or Asana Enterprise for procurement reasons.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Monday.com pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Monday.com into the rest of your stack.     Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Monday.com deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Monday.com - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Every paid tier is per seat per month, billed annually. Monthly billing runs about 25% higher.
