CRM & Sales - Setup Guide
How to set up Waalaxy
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy. Chrome extension install, LinkedIn connect, first campaign in under an hour. The learning curve is on the copy (invite message, follow-up cadence), not the tool.
Read these before you start
- LinkedIn Terms of Service prohibits automation. Waalaxy runs client-side to reduce risk but the risk is real. Warm the account, throttle volume, don't blast
- Account bans happen when volume spikes. Ramp gradually
- Requires your computer to be running (browser-based execution) for many actions unless you upgrade to cloud-based tiers
- Email finder credits are separate from LinkedIn action credits
- Inbox management is basic. Complex reply handling belongs in a real CRM
- LinkedIn changes their UI regularly. Extension breaks occasionally, requires updates
The 7-step setup
- 1
Create your Waalaxy account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open Waalaxy signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Waalaxy pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Waalaxy into the rest of your stack. The integrations that most people set up first: LinkedIn (Chrome extension), Sales Navigator, HubSpot, Salesforce, Pipedrive, Zapier, native email sending, Waalaxy Inbox.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Waalaxy deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Waalaxy - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Waalaxy when: user is a solo founder, consultant, agency, or small B2B sales team; ICP lives on LinkedIn; pain_point is "manual LinkedIn is slow" or "I need more meetings booked"; and they understand the ToS gray area. Pairs with Sales Navigator, HubSpot or Pipedrive for pipeline, Calendly for booking, and a real ESP for follow-up nurture. Do NOT recommend for enterprise sales orgs (real orchestration tools), non-B2B, or teams with legal sensitivity to automation. Warn about account sa...
Pricing you'll hit
- Free: limited invitations/mo, basic features, one campaign - Advanced: ~$56/mo, higher invitation caps, no email finder, unlimited campaigns - Business: ~$80/mo, email finder credits, CRM synchronization, unlimited campaigns - Team: bundle pricing for multiple seats - Enterprise: quote Prices billed annually often list lower monthly rates. Verify current tier structure at signup.
