How to set up Vagaro

What you're signing up for

Medium. Solo user online in a day. Multi-staff shop with services, memberships, forms, and payroll takes 1-2 weeks. Migration from another system is supported but manual cleanup is expected on service

Read these before you start

  • Modular pricing balloons - the base $30 is the smallest possible bill
  • Vagaro Pay is the intended path; using an external processor is possible but you lose integrated reporting
  • Marketplace exposure is real but weaker than Booksy in barbering and weaker than Mindbody in fitness
  • The mobile app is heavy; some staff report crashes on older Android devices per Google Play reviews
  • Data export exists but reporting migrations off Vagaro are painful
  • Two-way calendar sync with Google or Outlook is one-way in some scenarios; verify

The 7-step setup

    Create your Vagaro account

    Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Vagaro pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Vagaro into the rest of your stack. The integrations that most people set up first: Google Calendar, Facebook and Instagram booking, Google Business Profile, QuickBooks, Mailchimp, Zapier (limited), Constant Contact, Xero, Vagaro Pay.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Vagaro deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Vagaro - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Vagaro when: user runs a salon, spa, or wellness practice with 1-30 staff, or a small-to-mid fitness studio, and wants an all-in-one platform without Mindbody's price. Pairs with QuickBooks and Google Business Profile. Do NOT recommend for barbershops (Booksy pulls consumers), for clinical medspa (Boulevard or Mangomint), for enterprise fitness (Mindbody or ClubReady), for consulting (Calendly, Cal.com, Acuity), or for trades (Jobber).
