Vagaro
Salon, spa, and fitness business management software
What it does
Vagaro is an all-in-one business platform for salons, spas, fitness studios, and wellness practices. Online booking, POS, payment processing, marketing (email and SMS), memberships and packages, payroll, forms, and inventory. Built-in consumer marketplace (Vagaro.com and app) drives some inbound discovery. Its differentiator against Mindbody is a lower price and a friendlier UI; against Booksy it is broader (fitness + spa, not just barbers). Feature depth on the spa side is strong; fitness is decent but not the best in class.

Who this fits
- Salons, day spas, and multi-service beauty businesses (1-30 staff)
- Fitness and yoga studios with class-based scheduling
- Wellness practices (acupuncture, massage, chiropractic - non-clinical)
- Multi-service businesses that need memberships, packages, and gift cards
- Owners switching off Mindbody looking for lower cost
Who it does NOT fit
- Barber shops that live in the Booksy marketplace (consumer app pull is stronger there)
- Clinical medspa needing HIPAA-graded charting (Boulevard, Mangomint, or Zenoti)
- Enterprise fitness chains (Mindbody, ClubReady, or ABC Fitness)
- Consulting, coaching, or general professional services (Calendly, Cal.com, Acuity)
- Home service / trades (Jobber, Housecall Pro)
Pricing
Real gotchas
- Modular pricing balloons - the base $30 is the smallest possible bill
- Vagaro Pay is the intended path; using an external processor is possible but you lose integrated reporting
- Marketplace exposure is real but weaker than Booksy in barbering and weaker than Mindbody in fitness
- The mobile app is heavy; some staff report crashes on older Android devices per Google Play reviews
- Data export exists but reporting migrations off Vagaro are painful
- Two-way calendar sync with Google or Outlook is one-way in some scenarios; verify

Otto’s take on this tool
Recommend Vagaro when: user runs a salon, spa, or wellness practice with 1-30 staff, or a small-to-mid fitness studio, and wants an all-in-one platform without Mindbody's price. Pairs with QuickBooks and Google Business Profile. Do NOT recommend for barbershops (Booksy pulls consumers), for clinical medspa (Boulevard or Mangomint), for enterprise fitness (Mindbody or ClubReady), for consulting (Calendly, Cal.com, Acuity), or for trades (Jobber). Model the full add-on stack in the recommendation - the base price alone is misleading.

Editor's curated reviews
686 reviews across TrustPilot - avg 3.8/5Curated by Otto from TrustPilot public reviews (fetched 2026-08-31). Vagaro averages 3.8 across 686 TrustPilot reviews - 75% 5-star led by named-rep onboarding thank-yous (Liam, Jack, Carl); the 18% 1-star cluster reflects support-slowness, marketing/email delivery issues, and cancellation friction.
