How to set up Slack

Read these before you start

• The 90-day history cap on the free tier is a real functional limitation, not just a minor inconvenience — a team relying on searching back further than 3 months for a decision or file will find it inaccessible without upgrading to Pro
• No public affiliate program exists — a Slack "partner program" exists but does not pay cash commissions, so this is a value recommendation for Otto to make, not a revenue-generating referral
• Slack Huddles and calling features are genuinely lighter-weight than Zoom — don't position Slack as a Zoom replacement for client-facing video calls, it's built for quick internal voice check-ins
• Channel sprawl is the most common real-world failure mode — teams that don't establish channel-naming and archiving discipline early end up with dozens of stale channels that make search worse, not better

The 7-step setup

   Create your Slack account

   Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Slack pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Slack into the rest of your stack. The integrations that most people set up first: Google Drive, Zoom, Salesforce, Asana, Trello, GitHub, and 2,000+ more — the integration ecosystem is the single biggest reason teams choose Slack over a bundled alternative.. Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Slack deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Slack - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend Slack when: the client is a team of 2+ (not solo) needing organized, searchable communication with heavy integration needs (notifications from CRM, forms, CI/CD, etc. all landing in one place). Do NOT recommend as an added cost to a team already fully on Microsoft 365 with Teams bundled, unless Slack's specific integration ecosystem is a genuine requirement they've identified.
