What you're signing up for
Easy, roughly 15 minutes to be functional. This is the fastest CRM setup on Otto's list.
Read these before you start
- No two-way email sync on any tier, including the top one, users have to BCC Capsule to log emails rather than getting native inbox sync like Close or HubSpot offer (Source: OnePageCRM review comparison, via WebSearch summary 2026)
- Support is email-only, no phone or live chat at any tier, one reviewer specifically warned "if you don't have an IT person in house, don't get this one" when something breaks mid-implementation (Source: user review quoted in Capterra/CheckThat.ai aggregation, via WebSearch summary 2026)
- The Starter/free tier gives exactly one sales pipeline and one project board, any business selling more than one type of product/service will hit this wall fast
- Workflow automation is limited even on paid tiers compared to Pipedrive or HubSpot, this is a contact/pipeline tool, not an automation engine

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Capsule CRM pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Capsule CRM into the rest of your stack. The integrations that most people set up first: Google Workspace, Mailchimp, Xero, QuickBooks, Zapier.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Capsule CRM deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Capsule CRM - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend Capsule when the user explicitly says they tried a bigger CRM and found it overwhelming, or when the ask is genuinely simple: track contacts, track a pipeline, nothing fancy. Strong fit for solo consultants and small trades/agency teams. Do not recommend if the user needs native email sync or responsive live support, those are real gaps, not minor ones. If automation is a stated pain point, Pipedrive or HubSpot fit better.
