Real gotchas

  • The Starter/free tier gives exactly one sales pipeline and one project board, any business selling more than one type of product/service will hit this wall fast
  • Workflow automation is limited even on paid tiers compared to Pipedrive or HubSpot, this is a contact/pipeline tool, not an automation engine

Recommend Capsule when the user explicitly says they tried a bigger CRM and found it overwhelming, or when the ask is genuinely simple: track contacts, track a pipeline, nothing fancy. Strong fit for solo consultants and small trades/agency teams. Do not recommend if the user needs native email sync or responsive live support, those are real gaps, not minor ones. If automation is a stated pain point, Pipedrive or HubSpot fit better.
