ActiveCampaign
Email marketing and automation platform with CRM capabilities
What it does
ActiveCampaign is a marketing automation platform that started as a smart email tool and became a full CRM plus lifecycle marketing suite. It sends broadcast emails, runs multi-step behavioral automations, tracks contacts across their journey, and (on Pro and Enterprise) manages a sales pipeline. Its automation builder is genuinely the best in the mid-market category - conditional logic, split tests, wait steps, and behavior triggers all live in one visual editor. Compared to Mailchimp (better UI, weaker automation), HubSpot (better CRM, way more expensive), or Klaviyo (better for ecommerce, worse for services), ActiveCampaign is the "grown-up email marketing" pick.

Key features
Integrates with
Shopify, WordPress, Salesforce, Zapier, Facebook
Who this fits
- Consultants, coaches, and course creators with buyer journeys 2+ weeks long
- B2B services businesses running behavior-triggered nurture (welcome series, re-engagement, upsell flows)
- Real estate agents nurturing long-lead-cycle buyer/seller databases
- Agencies running email marketing for multiple clients (agency-tier discount available)
- Small businesses that outgrew Mailchimp's automation ceiling
- Ecommerce brands under $50k/mo that want CRM + email in one tool (Klaviyo wins at higher revenue)
- Sales-driven teams on Pro that want CRM + marketing automation without paying HubSpot prices
Who it does NOT fit
- Solo founders sending occasional newsletters (Brevo, MailerLite, or ConvertKit is cheaper)
- Ecommerce brands over $100k/yr in email-attributed revenue (Klaviyo's Shopify integration is deeper)
- Sophisticated B2B enterprises needing account-based marketing at scale (HubSpot Marketing Hub Enterprise)
- Anyone who needs a free tier forever (no free plan on ActiveCampaign)
- Cold outreach teams (ActiveCampaign is opted-in marketing, not cold outbound; use Instantly or lemlist)
Pricing
Real gotchas
- **Contact-list balloon**: Aggressive per-tier scaling means growing from 1,000 to 25,000 contacts on Plus takes you from $49 to $239/mo. Real cost. Budget accordingly.
- **Starter cap**: Starter maxes at 10,000-25,000 contacts. Above that, you must upgrade to Plus. Do not sit on Starter as a "cheaper long-term" plan; the cap comes fast.
- **Automation complexity trap**: Users build 20 overlapping automations, then can't figure out why contacts are in the wrong journey. Tag strategy and journey mapping are prerequisites, not afterthoughts.
- **Ecommerce ceiling**: When email drives 20%+ of ecommerce revenue, Klaviyo's data model becomes worth the switch.
- **CRM tension**: ActiveCampaign's CRM is a real product but weaker than Close or HubSpot for active sales teams. If sales grows into a dedicated function, they may want a dedicated CRM.

Otto’s take on this tool
> Example: "For your 3-person coaching business with 2,000 email subscribers running an evergreen sales funnel, ActiveCampaign Plus at $95/mo (2,500 contacts, annual) covers the 5 automations you described plus the pipeline for tracking prospects through your discovery calls. Predictive sending on Pro adds another $50/mo and is worth it once you cross ~$5k/mo in email-attributed revenue, but skip it for now."

“The backend on this platform has gotten out of hand, and having the email editor strip out basic formatting every single time you paste copy is infuriating when you're trying to hit a deadline.”
