How to set up Teamwork

Read these before you start
- Key integrations are tier-gated in a way that surprises budget-conscious teams: HubSpot and QuickBooks connections require the Grow/Accelerate tier, while Salesforce and NetSuite require the top Scale/Optimize tier, don't assume a mid-tier plan includes the integration a client actually needs, verify against the specific integration before quoting (Source: pricing analysis via WebSearch summary, 2026)
- Costs can escalate quickly once integrations and add-ons are layered on, small teams have reported the jump between tiers feels disproportionate to team size
- No visible pricing or self-serve upgrade path for the top Scale tier, expect to go through a sales call, which adds friction and delay if a client needs to scale up quickly
- The free tier's 2-project cap is genuinely limiting, most agencies outgrow it within the first month or two of real use

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Teamwork pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Teamwork into the rest of your stack. The integrations that most people set up first: Slack, HubSpot (Grow tier+), QuickBooks (Grow tier+), Salesforce (Scale tier), Zapier, Google Drive.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Teamwork deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Teamwork - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Recommend Teamwork when the client is an agency or professional services firm that needs to track billable time and project profitability, not just tasks, this is Teamwork's real differentiator over Asana/ClickUp/Trello.
