Accounting - Setup Guide

How to set up Stripe

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Easy for signup and a payment link (30 minutes). Medium for a real checkout integration (a day for a Shopify install, a few days for custom Checkout, a week+ for a full custom flow with subscriptions

Read these before you start

  • Payouts hold for 2 days on new accounts and up to 7 days for high-risk industries — plan cash flow
  • Chargeback fees are $15 per dispute regardless of outcome. High dispute rate can get accounts frozen
  • Radar Rules require some tuning — the defaults are aggressive on some legitimate transactions
  • Stripe Tax is $0.50/transaction on the low tier — surprise fee for high-volume, low-ticket
  • Instant payouts fee (1.5%) is easy to accidentally enable
  • Account freezes are rare but real — high refund rate, sudden volume spikes, or a fraud pattern can trigger a review that pauses payouts

The 7-step setup

  1. 1

    Create your Stripe account

Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Open Stripe signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Stripe pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire Stripe into the rest of your stack. The integrations that most people set up first: Shopify, WooCommerce, BigCommerce, Squarespace, Wix, Webflow, Bubble, Framer, Zapier, Make, QuickBooks Online, Xero, HubSpot, Salesforce, Recurly, Chargebee, ProfitWell/Paddle, Segment, Amplitude, Mixpanel, most SaaS billing tools.. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Stripe deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in Stripe - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend Stripe when: user needs online payments. Almost universal fit. Best answer for SaaS billing, ecommerce checkout, and any modern payment need. Pairs with Shopify (if ecom), QuickBooks/Xero (accounting), Stripe Tax (if selling in multiple US states with nexus), and a subscription-management layer if the billing model is complex (Recurly, Chargebee, or Stripe's own Billing). Do NOT recommend for high-risk industries Stripe declines, or for businesses whose motion is entirely offline. Alwa...

Pricing you'll hit

- Standard cards (US): 2.9% + 30¢ online, 2.7% + 5¢ in-person - International cards: +1.5% surcharge on top - Currency conversion: +1% surcharge - ACH: 0.8% capped at $5 - Wire: $8 flat - Instant payouts: 1.5% fee (standard 2-day payouts free) - Stripe Billing (subscriptions): 0.5% additional above the basic transaction fee, or 0.7% on Scale plan - Radar for Fraud Teams: 5¢ per screened transactio...
