How to set up Square Appointments

Read these before you start
- The real total cost of ownership is higher than the advertised "free" plan suggests once payment processing fees, staff add-ons, and any hardware (card readers) are factored in, this is a genuine gotcha worth walking the client through with real transaction-volume math (Source: fee analysis via WebSearch summary, 2026)
- Manually keyed-in payments (typing a card number instead of tapping/swiping) cost more in processing fees than in-person taps, a detail that matters for phone-booked appointments paid over the phone
- Marketing tools and waitlist functionality are gated behind higher tiers or separate add-on purchases, the free tier is booking + payments only, nothing more
- If the client's business model doesn't involve much in-person card processing, the "free" pitch doesn't actually save them money versus a dedicated scheduling tool with a flat subscription

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Square Appointments pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Square Appointments into the rest of your stack. The integrations that most people set up first: Square POS (native), Google Calendar, Instagram (book directly from Instagram profile), QuickBooks.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Square Appointments deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Square Appointments - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend Square Appointments specifically for solo/small service providers already using or open to Square for point-of-sale, especially salons, barbershops, and medspas taking significant in-person card payments. Always walk through the real processing-fee math rather than letting the client assume "free" means no cost. If the business does mostly online/prepaid bookings with minimal in-person card volume, a flat-fee tool like Setmore or Acuity may actually be cheaper overall.
