How to set up Reply.io

What you're signing up for
Medium. First sequence live in a few hours. Doing it right (dedicated sending domain, DNS records, 4-6 week warmup, verified list, tuned copy, multichannel steps configured) takes several weeks. The A
Read these before you start
- The AI SDR can send replies you did not write. Turn on human-review mode until you trust it, or you will find surprises in your sent folder
- Deliverability requires a dedicated sending subdomain, correct SPF/DKIM/DMARC, and warmup
- LinkedIn steps require the LinkedIn extension and respect LinkedIn's daily limits — do not crank these
- The built-in data provider is not as deep as ZoomInfo or Apollo for enterprise data
- Per-inbox pricing scales linearly. A big-volume send needs many inboxes and the bill grows fast
- Reporting is functional but not deep. For real RevOps analytics, export to a BI tool

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Reply.io pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Reply.io into the rest of your stack. The integrations that most people set up first: HubSpot, Salesforce, Pipedrive, Close, Zapier, Make, Gmail, Outlook, LinkedIn, Slack, Zoom, Vidyard, Calendly.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Reply.io deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Reply.io - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Recommend Reply.io when: user is running B2B outbound, needs more than just email (LinkedIn + calls + SMS matter), and wants one platform instead of a stack. Best fit for B2B SaaS, agencies, and mid-market sales teams. Pairs with a CRM (HubSpot, Salesforce, Close, Pipedrive), a scheduling tool if not using Reply's built-in one, and a prospect database if Reply's built-in one is too thin for the ICP.
