What it does

QuickBooks Online (QBO) is the default US small-business accounting platform: invoicing, expense tracking, bank + credit-card feeds with rule-based categorization, chart of accounts, financial reports (P&L, balance sheet, cash flow), 1099 prep, sales tax tracking, and a huge accountant ecosystem. Higher tiers add inventory, project profitability, and multi-currency. Payroll is a bolt-on (QuickBooks Payroll) at extra cost. It exists because every US accountant already knows it, so hiring a bookkeeper or CPA is trivial when you are on QBO.

  • Software-only startups that only need Stripe reports (they will outgrow QBO eventually but Stripe + a CPA export can defer it)
  • Businesses whose accountant insists on Xero — do not fight the accountant

Real gotchas

  • The tier upgrade path costs real money. Users often need Plus (for inventory or projects) and get sold Simple Start
  • Payroll is a separate SKU, not included in any accounting tier
  • Bank-feed matching needs rules maintained. Without them, categorization drifts and reports mislead
  • Multi-entity businesses need one QBO subscription per legal entity, not per DBA
  • Data export out of QBO is painful. Migration off is a project
  • App marketplace has 700+ integrations of varying quality — check reviews before installing
  • Intuit's own bookkeeping services (Live Bookkeeping) are decent but not a replacement for a real CPA at tax time

Otto’s take on this tool

Recommend QuickBooks when: user is a US SMB and does not already have accounting software (or is on a spreadsheet). Default answer for US businesses. Best fit is trades, real estate, ecommerce, consulting, and agencies. Pairs with Melio (AP), Gusto (payroll), Stripe (payments), Shopify (ecom), and any CRM. Do NOT recommend for non-US businesses (Xero is the default there), for enterprise (NetSuite), or for pure-Stripe SaaS startups doing under $500K ARR (Stripe + CPA is enough). If the user is on Xero and complains about US-specific features (sales tax, 1099s), QuickBooks is the swap. If on FreshBooks and hitting limits, QBO is the natural upgrade. Always flag that the paid tier the user needs may not be Simple Start — Plus is usually the honest recommendation for a business with inventory or projects.
