Pipedrive

Sales-focused CRM designed to help small teams close more deals

What it does

Pipedrive is a visual, pipeline-first sales CRM. The kanban deal board is the whole product philosophy: drag a deal from stage to stage, log the next activity, don't let a card sit stale. It's the antidote to HubSpot's marketing sprawl and Salesforce's admin tax. Contacts, deals, activities, emails, and a light automation engine. Add-ons for lead generation (LeadBooster), campaigns (email marketing), projects (post-sale delivery), and analytics (Insights). Small sales teams that just need a pipeline, not a suite, sign up and stay.

Integrates with

Gmail, Outlook, Slack, Zapier, Trello, Asana

Who this fits

  • 2-30 person B2B sales teams with a clear pipeline stage model
  • Consultants and agencies tracking active opportunities
  • Trades, real estate, and services businesses that live in a deal-by-deal world
  • Small SaaS sales teams pre-Salesforce, post-spreadsheet
  • Founders selling on a repeatable pipeline they want to see at a glance

Who it does NOT fit

  • Marketing-led inbound teams (HubSpot's inbound tooling is the whole point)
  • Outbound dialer teams doing hundreds of calls/day (Close wins on the dialer stack)
  • Support/service-first teams (Zendesk, Intercom, HubSpot Service)
  • Enterprise sales orgs needing forecasting, territory, quota complexity (Salesforce)
  • Ecommerce (order data isn't what Pipedrive models well)

Pricing

- Essential: ~$15/user/mo, basic pipeline, contact management - Advanced: ~$29/user/mo, email sync, workflow automation, group emailing - Professional: ~$59/user/mo, forecasting, revenue projections, e-signatures, team management - Power: ~$79/user/mo, project planning, phone support, advanced permissions - Enterprise: ~$99/user/mo, unlimited features, security, custom permissions Add-ons stack on top: LeadBooster (~$32/mo), Web Visitors (~$41/mo), Campaigns (~$16/mo), Projects (~$8/user/mo). Bundled tiers include some of these.

Real gotchas

  • Automation limits per user by tier (Essential is 30, Professional 60)
  • Custom fields limit by tier
  • Email sync (2-way) is Advanced tier and up
  • LeadBooster and Campaigns are add-ons, not included
  • Reporting is fine on Professional, thin on lower tiers
  • Not built for marketing automation. Trying to run drip campaigns here is the wrong move
  • Mobile app is functional but the desktop UX is the real product

Integrations that matter

Gmail, Google Workspace, Outlook, Microsoft 365, Slack, Zoom, Zapier, Make, Mailchimp, ActiveCampaign, QuickBooks, Xero, Trello, Asana, Calendly, DocuSign, PandaDoc, Aircall, JustCall, WhatsApp Business, native Pipedrive Marketplace with 400+ apps.

Otto’s take on this tool

Recommend Pipedrive when: business_size is 2-30, motion is outbound or consultative B2B sales, pain_points include "we lose deals in the pipeline" or "our spreadsheet CRM is out of control," and the user does NOT need marketing automation as a core feature. Pairs with Gmail/Outlook, Slack, Calendly, Zapier, and a proper ESP for marketing. Do NOT recommend for inbound marketing-heavy teams (HubSpot), outbound dialer teams (Close), or enterprise pipelines (Salesforce). It's the "just give me a pipeline" pick, and that's a compliment.

  • Every day there's a new popup to click closed. The UI gets more crowded, making it visually distracting.
  • This is possibly the worst customer service ever experienced. No one answered chat support; only a chatbot available.
  • Rafael helped us recognize structural issues preventing full platform advantage and provided practical solutions.
  • Rafael really helped me wrap my head around using data fields correctly and provided solid advice on improvements.
  • Very good at onboarding, but forget about support afterward. No phone support; six emails over six weeks got zero responses.
  • Stacey Clarke was patient, sent several follow-ups, met multiple times, and adjusted my CSV file perfectly for Pipedrive.
