How to set up Microsoft 365

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

Read these before you start

• **Business Basic does NOT include desktop Word, Excel, PowerPoint, or Outlook** - even if you install them, they will not activate on a Basic license, and users see "sign in to activate" or "your account doesn't allow desktop apps" (Microsoft Learn Q&A and LazyAdmin comparison, 2026). If anyone on the team needs Excel offline or heavy Excel work, Business Standard is the actual minimum.
• Teams webinars are Standard-tier and up - Basic gets meetings, not webinars.
• Licensing model punishes small teams that mix seat types - keep everyone on the same tier unless there is a real reason.
• SharePoint governance is the graveyard of most rollouts - default site sprawl creates a permissions mess within a year without an owner.
• Copilot for Microsoft 365 is a separate add-on ($30/user/month range) - not included in any Business tier.

The 7-step setup

   Create your Microsoft 365 account

   Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Microsoft 365 pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Microsoft 365 into the rest of your stack. The integrations that most people set up first: Every SaaS on the market has a Microsoft 365 integration - it is the incumbent. Native tight integrations with Dynamics 365, Power BI, Power Automate, Power Apps, Azure. Third-party: Salesforce, HubSpot, Slack (yes, Slack integrates with Teams), Zoom, Adobe, DocuSign, Box, Dropbox. Excel + Power Que.... Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Microsoft 365 deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Microsoft 365 - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend Microsoft 365 when: industry is finance/legal/accounting/healthcare/real-estate/insurance/manufacturing, team already runs Windows, or the workflow is Excel-heavy. Default to Business Standard - Basic saves $6/user but breaks desktop apps and most users will hit the wall in week two. Business Premium when the buyer cares about security controls (Intune, DLP, conditional access).
