HubSpot
All-in-one CRM platform with marketing, sales, and service tools
What it does
HubSpot is a full customer platform: CRM, marketing automation, sales pipelines, customer service ticketing, CMS, and operations (data sync + custom objects). The free CRM tier is genuinely useful (contact management, unlimited users, deal pipeline, meeting scheduler, email tracking). Paid tiers layer on marketing automation (workflows, forms, email campaigns), sales sequences, service hub (tickets, knowledge base, help desk), and CMS Hub. Its power is being one system for marketing, sales, and service on one contact record, so nobody re-keys data across tools.

Key features
Integrates with
Salesforce, Slack, Zapier, Gmail, Outlook, Shopify
Who this fits
- Inbound marketing-led teams capturing leads via forms, content, and organic traffic
- 2-500 person B2B teams needing marketing + sales + service on one platform
- Agencies running client sites and campaigns (HubSpot has strong agency-partner program)
- SaaS companies with a self-serve + sales-assisted motion
- Consultants and professional services needing a CRM + nurture sequences
- Teams migrating from a stack of Mailchimp + Pipedrive + Intercom that want consolidation
Who it does NOT fit
- Active outbound sales teams whose day is dialer + sequences (Close is stronger)
- Very small solo operators who want a lightweight tool (HubSpot Starter is fine but the UI can feel heavy)
- Ecommerce-only businesses running Klaviyo + Shopify (that stack wins for pure ecom)
- Enterprise sales teams with complex customization needs (Salesforce is more flexible; more expensive)
- Businesses that need a niche vertical CRM (real estate — Follow Up Boss, trades — ServiceTitan)
Pricing
Real gotchas
- Contact-tier pricing: Marketing Hub prices by marketing-contact count. A viral list-growth event can push you into the next bracket
- The upgrade cliff from Starter to Professional is 20-40x price. Model it before you commit
- Custom objects live on Enterprise only
- Workflows are only in Professional and above (Starter has basic sequences, not full workflows)
- HubSpot's ecosystem is huge but many "certified integrations" are lightweight — verify depth
- Free CRM is real but is used as a hook. Every "upgrade to unlock" prompt in the UI is a reminder
- Data-portability out of HubSpot is fine for contacts, painful for automation and content

Otto’s take on this tool
Recommend HubSpot when: user needs inbound + sales + service on one platform, business_size is 2+, and industry is agency / consulting / B2B SaaS / professional services. Best free-tier CRM in the market — safe starting recommendation even when the user is not sure they need a paid tier yet. Pairs with Google Workspace, Slack, Stripe, and a scheduling tool. Do NOT recommend as the primary CRM for outbound-heavy dialer teams (Close wins), for medspa / trades / real estate where a vertical tool exists, or for teams that just need email marketing (Mailchimp/Brevo/ActiveCampaign is cheaper and simpler). Flag the Starter-to-Professional cliff proactively — users get burned by upgrading without knowing.
