What you're signing up for

Easy. Shared inbox connected and first reply sent within 20 minutes. Knowledge base setup and custom field configuration for a polished deployment takes a day or two.

Read these before you start

  • No free tier at all — a very small or pre-revenue team evaluating help desks on budget will hit Freshdesk's free plan first and may never get to Help Scout's paid-only entry point
  • Mailbox limits (2 on Standard, 5 on Plus) can become a real constraint faster than expected for a business running multiple support addresses (support@, billing@, a client-specific inbox) — model actual mailbox needs before picking a tier
  • Omnichannel and advanced routing depth trail Zendesk and Freshdesk noticeably — if the client's real need is complex multi-channel queue management, Help Scout's simplicity becomes a limitation rather than a feature
  • AI Summarize and other newer AI features are present but not as deeply built out as Zendesk's AI agent layer — set expectations accordingly if AI-assisted resolution is a priority

The 7-step setup

    Create your Help Scout account

    Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Help Scout pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Help Scout into the rest of your stack. The integrations that most people set up first: Slack, HubSpot, Salesforce, Shopify, Zapier.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Help Scout deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Help Scout - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Help Scout when: the client is a startup or SaaS team (1-100 people) that wants support to feel personal and email-native rather than ticket-system corporate, and doesn't need deep omnichannel routing or enterprise workforce analytics. Do NOT recommend for enterprise-scale or high-complexity routing needs (Zendesk wins), and do NOT recommend to a very budget-conscious small team without first mentioning Freshdesk's free tier as a genuine no-cost alternative.
