Google Gemini
Google's AI assistant integrated with Google ecosystem
What it does
Gemini is Google's AI assistant, spanning a consumer chat app (gemini.google.com), a Workspace add-on (Gemini for Google Workspace, formerly Duet AI, that embeds into Docs, Sheets, Slides, Gmail, Meet, and Drive), and the Gemini API on Google Cloud / AI Studio. Strengths are deep integration with Google Workspace, multimodal input (text, image, audio, video), and models tuned for reasoning (Gemini Ultra / Advanced) and long context (large token windows). Its distinctive plays are Notebook LM (source-grounded research) and native use inside Gmail and Docs.

Key features
Integrates with
Google Workspace, Google Search, Gmail, Google Drive
Who this fits
- Google Workspace-native businesses (Gemini inside Gmail, Docs, Sheets, Meet is the fit)
- Teams doing document-heavy work who want summarization and drafting embedded
- Marketing and content teams already living in Docs and Slides
- Researchers using Notebook LM for source-grounded synthesis
- Developers building on Google Cloud with Gemini API
Who it does NOT fit
- Microsoft 365 shops (Microsoft Copilot is the correct fit)
- Users who need the cutting-edge reasoning that GPT-5 / Claude Opus offer on hard coding or long chains (Gemini has closed the gap but the answer depends on the current benchmark and use case)
- Teams needing dedicated privacy guarantees around consumer-tier data use (verify current Workspace data policies)
- Users in regions without Gemini availability (verify country coverage)
- Non-Google-Workspace teams that would only use the standalone chat (competition is stronger)
Pricing
Real gotchas
- Gemini for Workspace pricing has shifted at least twice in the last 18 months per Workspace admin community threads and Google's own release notes. Do not quote from memory
- Consumer Gemini output can be uneven across models; check what tier of Gemini a user is actually on (Free vs Advanced routes to different models)
- Data-use defaults for consumer accounts differ from Workspace / Enterprise; explain this to clients before they paste sensitive content
- Notebook LM is powerful but private-source uploads are per-notebook and the export story is thin
- Some features roll out region-by-region; features shown in demos may not be enabled for the client's org yet
- Gemini's answers cite sources inconsistently - stronger with grounded search enabled, weaker without

Otto’s take on this tool
Recommend Gemini when: user is on Google Workspace, wants AI embedded in Gmail, Docs, and Meet, and the workflow lives in those tools. Highest fit for Workspace-native teams doing content, research, and analysis. Pairs with the rest of Google Workspace and Google Cloud for developers. Do NOT recommend for Microsoft 365 shops (Copilot), for teams that need the strongest reasoning on hard coding or long chains (Claude or GPT-5 may lead, benchmark-dependent), or for users who need consistent source citation in every response (Perplexity is the safer default for search-grounded answers). Verify the current Gemini for Workspace bundling before quoting - pricing has moved.
