How to set up Google Drive

What you're signing up for
Trivial for personal use. Easy for a small team on Workspace (an hour to set up domain, mailboxes, and shared drives). Medium for a full team migration off Dropbox/OneDrive with folder-permission plan
Read these before you start
- **Shared drives cap at 500,000 items (files, folders, shortcuts, and trash all count)**, and Google Workspace shows a warning banner when a shared drive drops below 20% remaining capacity - large migrations from legacy file shares can hit this fast (Google Workspace Learning Center "Shared drive limits" article, 2026).
- The 15GB free tier is shared across Drive, Gmail, and Google Photos - photo backups eat it long before your docs do.
- Storage caps are per-user pool that Workspace admins can share, not hard per-user limits - budget for the whole team.
- Downloading a shared Google Doc as .docx loses some formatting fidelity - Microsoft users notice.
- Vault (retention, eDiscovery, legal hold) is Business Plus and up - the compliance layer is not in the cheap tier.
- Third-party apps you granted access to years ago still see your Drive - audit at myaccount.google.com/permissions.

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Google Drive pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Google Drive into the rest of your stack. The integrations that most people set up first: Everything - Google Drive is the default file store for the SaaS ecosystem. Native tight integrations across the Google Workspace suite (Docs, Sheets, Slides, Meet, Calendar, Forms). Direct connectors into Slack, HubSpot, Salesforce, Asana, Notion, Zapier, Make, DocuSign, Adobe Sign, and every mains.... Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Google Drive deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Google Drive - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend Google Drive when: the team is on Google Workspace (obvious), is collaboration-first, is a startup or agency, or already uses Gmail. Default recommendation for storage in any team not already committed to Microsoft or Dropbox. Do NOT push a switch onto teams already on Microsoft 365 (the storage is bundled with what they already pay for) or teams with regulated retention requirements that Google Vault does not cover cleanly.
