How to set up Freshdesk

What you're signing up for

Easy. Basic ticketing live within 30 minutes. Automation rules and SLA policies configured properly for a real team take a few hours to a day.

Read these before you start

  • The genuinely useful automation and SLA features (the reason to pick a real help desk over a shared inbox) are Growth-tier and above — the free tier is closer to organized email than true help-desk automation, don't oversell what the free tier actually does
  • Round-robin ticket routing and CSAT surveys are Pro-tier only — a team that thinks Growth tier gives them fair ticket distribution across agents will be surprised it's a Pro feature
  • As part of the broader Freshworks suite, Freshdesk pricing and feature bundling has changed multiple times as Freshworks reorganizes its product lineup — verify current tier boundaries against the specific features a client needs rather than assuming last year's plan structure still holds
  • AI features are Enterprise-tier only, a meaningfully higher price point than the mid-tier plans most SMBs land on

    Create your Freshdesk account

    Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Freshdesk pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Freshdesk into the rest of your stack. The integrations that most people set up first: Slack, Shopify, Salesforce, Zapier, WhatsApp.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Freshdesk deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Freshdesk - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Freshdesk when: the client needs real ticketing structure (SLAs, automation, CSAT) but is price-sensitive relative to Zendesk, especially SMBs and growing e-commerce/SaaS teams under 50 agents. The free tier is a legitimate starting point for a team of 10 or fewer that just needs organized ticketing.
