How to set up FreshBooks

Read these before you start

• The "billable clients" cap is per-tier and easy to hit faster than expected — Lite's 5-client limit fits a brand-new freelancer but most established solo consultants outgrow it within the first year, forcing an upgrade to Plus
• No native payroll — pairs with Gusto or a dedicated payroll tool, factor that into total stack cost when comparing against QuickBooks (which has payroll add-ons in the same ecosystem)
• Multi-currency and more advanced accounting features live on higher tiers — verify the specific tier supports a client's actual invoicing needs (recurring billing, late fees, deposits) before committing
• Accountants and bookkeepers overwhelmingly default to QuickBooks — if the business plans to hand books off to an outside accountant, confirm they're comfortable working in FreshBooks first, since it's a less universal standard than QuickBooks
• Payment processing fees (via Stripe or FreshBooks Payments) apply on top of the subscription, standard card-processing rates apply

The 7-step setup

   Create your FreshBooks account

   Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If FreshBooks pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire FreshBooks into the rest of your stack. The integrations that most people set up first: Gusto (payroll), Stripe, Zapier, Google Workspace, Google Calendar (for time tracking), basic Shopify/WooCommerce connections via Zapier.. Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how FreshBooks deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in FreshBooks - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend FreshBooks when: the user is a freelancer, solo consultant, or small service-based agency (2-20 people) that invoices clients by project or hour and wants clean, professional invoicing without QuickBooks' complexity. Strong fit for trades businesses that quote and invoice per job. Do NOT recommend for businesses with inventory, complex payroll needs, or plans to scale past ~50 employees — QuickBooks or Xero fit that trajectory better.
