How to set up Fishbowl

What you're signing up for

Hard. This is real ERP-adjacent software, not a plug-and-play app. Every deployment includes a paid onboarding, and even with that, expect 4-12 weeks to get inventory counts loaded, integrations teste

Read these before you start

  • Implementation is not optional and is a real line item. Any quote without an implementation cost is incomplete (Source: PricingNow: https://pricingnow.com/question/fishbowl-inventory-cost/)
  • Old sources on the internet quote perpetual-license pricing ($4,300-6,500 one-time). That model is gone as of the 2022-2023 shift to subscription. Anyone quoting that is out of date
  • QuickBooks Desktop sync has always been the gold path — QuickBooks Online sync works but has more edge cases and delays
  • Fishbowl Drive and Fishbowl Advanced are different products with different feature sets, not tiers of the same product. Do not pick blindly
  • The interface shows its age; users switching from cloud-native tools notice
  • Multi-currency and multi-entity support is limited vs a real ERP

The 7-step setup

    Create your Fishbowl account

    Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Complete the initial onboarding

    Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Fishbowl pushes you into a setup wizard, take it - it usually accelerates the first productive session.

    Connect your existing tools

    Wire Fishbowl into the rest of your stack. The integrations that most people set up first: Native: QuickBooks Online, QuickBooks Desktop, Xero, Shopify, WooCommerce, Amazon, eBay, Magento, BigCommerce, ShipStation, ShipHero, Salesforce, Zapier. EDI via third-party. Payments via QuickBooks Payments. Barcode hardware supported natively.. Do these before importing data - clean integration first, data second.

    Import your existing data (only what you'll actually use)

    Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Fishbowl deployments die in month 3.

    Set up your first real workflow

    Pick the single most-frequent task you'll do in Fishbowl - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

    Add your team (if applicable) and set access

    Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

    Compound with the right pairings

    Recommend Fishbowl when: business has physical inventory, is on QuickBooks, business_size is 5-200, and the pain is "our inventory is out of sync with QuickBooks / we're outgrowing spreadsheets." Highest fit for small-to-mid manufacturers, distributors, and multi-warehouse ecommerce. Do NOT recommend for service businesses, tiny ecommerce, or enterprises that need real ERP.
