How to set up Finale Inventory

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Medium to hard. This is not a plug-and-play tool. Data migration (existing SKUs, cost history, supplier records, kit definitions), channel connections (Amazon FBA reconciliation is nontrivial), barcod

Read these before you start

  • Non-obvious gotcha: Finale's Amazon FBA integration syncs inventory levels correctly, but reconciling FBA lost/damaged/adjusted units against your on-hand count requires manual reconciliation workflows that Finale does not fully automate. Sellers with heavy FBA volume routinely find phantom shrinkage that turns out to be un-reconciled FBA adjustments. Assign someone to reconcile FBA weekly or this compounds silently.
  • Pricing is now quote-only, so listed public numbers online are usually outdated
  • The Descartes acquisition (announced 2024, completed 2025) is still reshaping product direction; watch for pricing and support changes
  • Reporting is functional but not best-in-class; export to Excel or connect a BI tool for real analytics
  • Barcode hardware (scanners, printers) is a real capex on top; Finale supports specific SKUs, do not buy blind

The 7-step setup

  1. 1

    Create your Finale Inventory account

Sign up at the link below. Card required for the paid tier - most plans include a trial period; check the pricing section on this page first so you know what you're committing to.

    Open Finale Inventory signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Finale Inventory pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire Finale Inventory into the rest of your stack. The integrations that most people set up first: Amazon (Seller Central, FBA), Shopify, eBay, Walmart Marketplace, WooCommerce, BigCommerce, ShipStation, ShipBob, QuickBooks, Xero, EDI for wholesale customers, Zapier. Native barcode scanner support (Zebra, Honeywell, Symbol).. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Finale Inventory deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in Finale Inventory - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend Finale Inventory when: business_size is 5 to 100, industry is ecommerce (multichannel physical goods), current tools include Amazon Seller Central + Shopify or similar multichannel stack, and pain_points include stockouts, oversells across channels, or manual inventory reconciliation. Do NOT recommend for pure dropship, sub-500-SKU stores, or non-ecommerce verticals. If comparing to Cin7, Finale wins on price and setup speed; Cin7 wins on manufacturing depth and enterprise reporting.

Pricing you'll hit

Finale moved to quote-only in 2026. Third-party listings and prior public pricing suggest: - Entry tier: around $99 per month for basic use (1 user, ~500 orders/month) - largely legacy - Current public floor per official pricing page: around $499 per month based on users, integrations, and order volume - Mid-tier: $200 to $800 per month with multichannel and advanced reporting - Enterprise: $1,000...
