Scheduling & Booking - Setup Guide
How to set up Clockwise
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy for the individual free tier (10 minutes - connect calendar, set focus goal). Medium for a team rollout with tagging conventions, flexible-meeting norms, and cross-team adoption (a week). Real wo
Read these before you start
- **Clockwise's value collapses if the team does not adopt the "flexible meeting" tagging convention** - and reviewers repeatedly report losing the ability to move meetings when participants outside the org are involved, plus complaints that shuffling itself becomes distracting when the team's calendar culture is meeting-heavy internally but expects fixed times externally (Capterra Clockwise reviews and Efficient App Clockwise review, 2026). It is "basically useless if you work solo, have a small team, or mostly meet with people outside your company."
- Auto-decline conflicting meetings feels great until it declines something the organizer meant as required - review the auto-decline log weekly at first.
- Prism (the AI assistant) is a newer surface and its accuracy for natural-language scheduling requests is mixed.
- Free tier is limited to focus-time protection on one calendar - the team analytics and cross-team optimization is Teams-tier and up.
- Moves respect meeting windows set by the organizer, so power users need to educate the team on tagging.
The 7-step setup
- 1
Create your Clockwise account
Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.
Open Clockwise signup - 2
Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Clockwise pushes you into a setup wizard, take it - it usually accelerates the first productive session.
- 3
Connect your existing tools
Wire Clockwise into the rest of your stack. The integrations that most people set up first: Google Calendar, Google Workspace, Outlook, Microsoft 365 (Outlook), Slack (status sync, focus-time indicators), Zoom, Asana, Todoist, native REST API. Calendar is the platform - if the team is not on Google or Microsoft, Clockwise is not an option.. Do these before importing data - clean integration first, data second.
- 4
Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Clockwise deployments die in month 3.
- 5
Set up your first real workflow
Pick the single most-frequent task you'll do in Clockwise - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.
- 6
Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
- 7
Compound with the right pairings
Recommend Clockwise when: business_size is 10-500, team is engineering/product/design (deep-work-dependent), team is meeting-saturated on Google or Outlook, and there is a champion who will drive the flexible-meeting convention. Do NOT recommend for solo founders, sales teams (external-heavy calendars), small teams under 10, or companies where the calendar culture treats every meeting as fixed. Flag that value requires team-wide tagging adoption - Clockwise on a team of one is a focus-time block...
Pricing you'll hit
- Free: individual focus time, one calendar, basic scheduling - Teams: $6.75/user/month annual - team optimization, focus-time analytics, Slack sync - Business: $11.50/user/month - advanced features, admin controls, SSO - Enterprise: quoted - custom rollout, dedicated support
