How to set up ClickUp

What you're signing up for
Solo founder testing on Free: 20 minutes. Real team setup: 3-8 hours to configure spaces, custom fields, workflows, and permissions. Migrating from Asana or monday: 1-2 days for a small team, 1-2 week
Read these before you start
- **Team never adopts it**: Complexity kills adoption. If the founder does not enforce workflow, half the team uses ClickUp and half stays in Slack DMs. Every failed ClickUp deployment I have seen died here.
- **Feature bloat past 100 users**: ClickUp can technically scale, but enterprises tend to migrate to Jira or Asana Enterprise because governance and standardization are cleaner there.
- **Notifications flood**: ClickUp's default notification settings are aggressive. If nobody tunes them, the team disables all notifications and the tool goes dark.
- **AI add-on price shock**: Client sees $12/user/mo, signs up, then adds AI and their bill triples. Otto should always price the AI tier explicitly.

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If ClickUp pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire ClickUp into the rest of your stack. The integrations that most people set up first: - **Slack** - task creation from messages, notifications - **Google Drive / Google Docs** - embed and attach - **GitHub / GitLab** - two-way commit and PR sync for engineering teams - **Zapier + Make** - covers most gaps - **Toggl, Harvest** - time tracking passthrough (or use ClickUp's native track.... Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how ClickUp deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in ClickUp - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.
