Productivity - Setup Guide

How to set up Chatfuel

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

What you're signing up for

Easy, roughly 20 minutes for basic setup.

Read these before you start

  • No website chat widget option, confirm this fits the client's actual channel needs before recommending, if they need on-site chat too, a second tool is required
  • Default bot logic relies mainly on keyword matching rather than genuine language understanding, differently phrased questions are commonly missed, the ChatGPT integration add-on is needed for meaningfully smarter responses, budget for that extra cost if conversation quality matters (Source: product review via WebSearch summary, 2026)
  • Meta's 2026 WhatsApp Business API policy update restricts general-purpose AI chatbots as the primary function on WhatsApp specifically, confirm the client's intended WhatsApp bot use case is a genuine customer-support integration, not a general AI assistant, before building (Source: Meta policy update via WebSearch summary, 2026)
  • Support and billing transparency draw notably lower marks on Trustpilot (3.2/5) than on G2 (4.4/5), with some reviewers describing dismissive support responses and multi-day dashboard outages, factor this gap into expectations for post-sale support quality (Source: review aggregate comparison via WebSearch summary, 2026)

The 7-step setup

  1. 1

    Create your Chatfuel account

Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

    Open Chatfuel signup
  2. 2

    Complete the initial onboarding

Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Chatfuel pushes you into a setup wizard, take it - it usually accelerates the first productive session.

  3. 3

    Connect your existing tools

Wire Chatfuel into the rest of your stack. The integrations that most people set up first: Facebook, Instagram, WhatsApp, Shopify, Zapier.. Do these before importing data - clean integration first, data second.

  4. 4

Import your existing data (only what you'll actually use)

Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Chatfuel deployments die in month 3.

  5. 5

Set up your first real workflow

Pick the single most-frequent task you'll do in Chatfuel - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

  6. 6

Add your team (if applicable) and set access

Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

  7. 7

    Compound with the right pairings

Recommend Chatfuel specifically for e-commerce and marketing teams whose customer engagement genuinely lives in Facebook/Instagram/WhatsApp, and confirm the client doesn't also need website chat (a real gap here). Flag that default bot intelligence is keyword-based and may need the paid ChatGPT add-on for real conversational quality, and confirm any WhatsApp automation plan complies with Meta's 2026 policy restricting general-purpose AI as the primary function there.

Pricing you'll hit

Per tools.json: Free (50 conversations/month), Business ~$15/mo (1,000 conversations/month), Enterprise custom (unlimited). Confirm current numbers at chatfuel.com/pricing.
