How to set up Botpress

Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.

Read these before you start

• Non-obvious gotcha: the bundled "AI Spend" in the May 2026 pricing update sounds like unlimited AI, but each tier includes a proportional AI quota based on the message allowance you buy. Deep RAG queries, long conversation histories, and vision or voice models burn far more than the "average conversation" the pricing math assumes. Real cost per active bot is often 1.5x to 3x the plan's headline price once your usage pattern stabilizes. Monitor AI spend weekly for the first two months.
• Team's 50,000 messages/month cap sounds huge until you deploy on a real ecommerce site with 10K+ daily visitors
• Vector DB storage caps (1GB Plus, 2GB Team) fill fast for knowledge-heavy verticals (legal, healthcare)
• Custom-code actions run in a sandboxed JS environment; not everything Node can do is available
• Enterprise contract negotiation is real; do not assume the sales-quoted number is final

The 7-step setup

   Create your Botpress account

   Sign up at the link below. Free tier available - no card required. Use your business email so you can invite teammates later.

   Complete the initial onboarding

   Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Botpress pushes you into a setup wizard, take it - it usually accelerates the first productive session.

   Connect your existing tools

   Wire Botpress into the rest of your stack. The integrations that most people set up first: WhatsApp Business, Facebook Messenger, Instagram, Slack, Microsoft Teams, Telegram, SMS (Twilio), website widget, custom REST API, Zapier, HubSpot, Salesforce, Zendesk, Google Sheets, Airtable, Notion, Google Drive (for RAG knowledge sources). LLM providers: OpenAI, Anthropic, Google, Mistral, Coher.... Do these before importing data - clean integration first, data second.

   Import your existing data (only what you'll actually use)

   Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Botpress deployments die in month 3.

   Set up your first real workflow

   Pick the single most-frequent task you'll do in Botpress - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

   Add your team (if applicable) and set access

   Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

   Compound with the right pairings

   Recommend Botpress when: business_size is 2 to 200, industry is agency (highest fit) or B2B SaaS or ecommerce, has at least one developer resource, and pain_points include "we need a smart chatbot with custom logic" or "we build bots for clients." Do NOT recommend for solo non-technical owners, trades, or small businesses wanting a simple lead widget.
