How to set up Bench
Otto's honest, no-fluff walkthrough. Every step here is what we'd actually do if we were sitting at your keyboard. Real gotchas first, real steps second, and a link to the personalized version at the bottom.
What you're signing up for
Easy on the customer side. Sign up, connect accounts, upload docs. Onboarding takes 1-2 weeks for the first close. Historical catch-up on messy books can take months and is billed separately.
Read these before you start
- The December 2024 shutdown and Employer.com relaunch is a real risk signal. Coverage in TechCrunch, The Verge, and Reddit r/smallbusiness in Dec 2024 documented customers locked out of their books overnight until the acquisition closed. Ask the client if that history is acceptable before recommending
- Bench uses a proprietary bookkeeping platform, not QuickBooks or Xero. Exporting to a CPA later is possible (they will hand over CSV / PDF financials) but a QuickBooks handoff is not native
- Cash-basis is the default; accrual support has varied
- The dedicated-bookkeeper promise sometimes means "team pod" in practice; turnover has been a customer complaint
- Tax filing add-on quality varies by bookkeeper assigned
- Response times slid during the transition; verify current SLAs before committing

Create your Bench account

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If Bench pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire Bench into the rest of your stack. The integrations that most people set up first: Direct bank feeds (Plaid), Stripe, Shopify, PayPal, Square, Gusto, most credit-card issuers. Bench does not integrate into QuickBooks or Xero as a source of truth - it replaces them.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how Bench deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in Bench - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend Bench when: user is a solo founder or small team (1-10), wants bookkeeping done for them, has simple cash-basis books, and prefers not to own QuickBooks. Ecommerce and agency owners are the sweet spot. Pairs with Stripe, Shopify, and Gusto. Do NOT recommend for businesses needing complex accrual accounting, job costing, multi-entity, or a QuickBooks-native handoff to their CPA. - Essential: ~$249-299/mo (monthly bookkeeping, dedicated bookkeeper, cash-basis) - Premium: ~$399-499/mo (adds tax filing, unlimited tax advisory) - Historical / catch-up bookkeeping: separately quoted, often thousands one-time - Pricing is post-relaunch under Employer.com; the model held through the transition but tier names and inclusions have shifted historically.
