How to set up ADP Run

What you're signing up for
Medium to hard. Onboarding is guided by an ADP rep; expect 1-3 weeks for tax IDs, direct-deposit verification, and prior-year YTD imports. Simple - once running - but the UI is dated and self-service
Read these before you start
- Opaque pricing and per-run fees add up
- Year-end W-2 and 1099 processing sometimes carries an additional fee
- Cancellation is not one-click - reps push retention offers, and multiple Reddit and BBB threads document customers being billed after cancel requests. Cancel in writing with dated proof
- Multi-state registration help exists but is not as fast as Gusto or Rippling
- Time and attendance is a separate ADP product (ADP Time Kiosk / TimeSaver) or a third-party integration
- Reporting is comprehensive but formatting is 1990s-flavored

Create your ADP Run account

Complete the initial onboarding
Skip the marketing questionnaires when you can. Fill only the fields that actually configure the product - name, timezone, your first workspace or project. If ADP Run pushes you into a setup wizard, take it - it usually accelerates the first productive session.

Connect your existing tools
Wire ADP Run into the rest of your stack. The integrations that most people set up first: QuickBooks Online, Xero, Wave, Zapier (limited), Deputy, Homebase, When I Work, 7shifts, ADPIA benefits, ADP retirement plans, most workers comp carriers.. Do these before importing data - clean integration first, data second.

Import your existing data (only what you'll actually use)
Do NOT bulk-import everything. Import the last 30 days of the ONE workflow you're moving over first. Prove it works. Then import more. Big-bang migrations are how ADP Run deployments die in month 3.

Set up your first real workflow
Pick the single most-frequent task you'll do in ADP Run - the daily-driver workflow. Configure it end-to-end. Use it live for a week. Do not touch any other feature yet. Adoption failure comes from teams trying to use everything on day one instead of the one thing that actually pays.

Add your team (if applicable) and set access
Once your solo workflow works, invite one teammate at a time. Watch them use it. The friction points you missed are the ones they hit. Fix those before scaling to more users. Never invite 20 people at once - you'll get 20 confused people and 0 useful feedback.

Compound with the right pairings
Recommend ADP Run when: user is an established SMB with 2-49 W-2 employees, values ADP's brand and CPA familiarity, and needs strong tax compliance with pay-as-you-go workers comp. Highest fit for trades, medspa, restaurants, and multi-location retail. Pairs with QuickBooks, Deputy or Homebase, and ADPIA benefits.
